Charles University, Faculty of Mathematics and Physics is looking for a candidates for the position Project Manager, OpenEuroLLM.

The OpenEuroLLM project is a pan-European initiative funded under the EU's Digital Europe Programme, uniting 21 leading research institutions, companies and EuroHPC supercomputing centres. Its goal is to build the first comprehensive, open-source, and regulatory-compliant family of large language models covering all official EU languages and reflecting European values of transparency and openness.
We are seeking an experienced Project Manager to run the day-to-day management, EU reporting and financial administration of this project at the coordinating institution, Charles University, in Prague, Czech Republic. The Project Coordinator is Prof. Jan Hajič. You will work with him, the Technical Project Manager, Danijela Nandi, and others to keep a consortium of 21 partners on track with the Grant Agreement, deadlines and reporting obligations throughout the project, which started on 1 February 2025 and is scheduled to end on 31 January 2028, with an extension to the end of 2028 currently under preparation.
Main Responsibilities
- Support the Project Coordinator in all administrative, financial and management matters, and chair the monthly management (WP1) meetings together with the Coordinator
- Prepare and submit all official reporting to the EC through the Funding & Tenders Portal: deliverables, milestones, periodic technical and financial reports, dissemination and communication outputs, and Amendments; prepare the project reviews
- Oversee the consortium's finances: run the half-yearly internal reporting of costs and person-months, check partners' submissions, advise partners on cost eligibility and reporting rules, and chase missing reports and approvals
- Handle audits and financial certificates at Charles University as a project beneficiary
- Manage the deliverables process: maintain the templates, assign internal reviewers, track deadlines and submit approved deliverables to the EC on time
- Maintain the Project Handbook, monitor emerging project risks together with the work package leaders, and serve as the first contact for partners' questions on the Grant Agreement, the Consortium Agreement and project procedures
- Prepare the project's in-person consortium meetings, held every six months
- Onboard and offboard project members: manage the mailing lists and grant or remove access to the shared Drive, Mattermost and other project platforms
- Administer the project's collaboration tools (Google Workspace, Mattermost, SeaFile, Overleaf)
Collaboration and Reporting
- This role reports to the Project Coordinator and is employed by Charles University.
- The role is based in Prague, at the Institute of Formal and Applied Linguistics (ÚFAL), Faculty of Mathematics and Physics. Physical presence is assumed at the workplace for at least 3 days a week, with Home Office arrangements possible, as agreed.
- The closest collaboration partners are the Coordinator, the Technical Project Manager, the work package leaders and co-leaders, and the PIs and administrative and finance staff of all partner institutions.
Ideal Candidate Profile
- Essential: proven prior experience in project management and financial management of European-funded projects of this size (10+ partners, a grant of €10+ million)
- Solid knowledge of EU grant rules: Grant Agreement and Consortium Agreement, the Funding & Tenders Portal, periodic and financial reporting, cost eligibility, audits and certificates
- Excellent written and verbal communication skills in English, including writing clear reports and procedures
- Strong organisation skills and attention to detail, with many parallel deadlines; the ability to chase partners firmly but diplomatically
- Comfortable working with Google Workspace, spreadsheets and collaborative tools such as Overleaf, GitHub and Mattermost
- Bonus: understanding of AI and LLM development and familiarity with Czech university administration / experience working in an academic environment
